Privacy policy

How SMPL collects, uses and protects information, in plain language.

1. Who we are

SMPL makes software for contracting businesses: the SMPL CRM, Jackie (an AI website assistant) and related tools. In this policy, "we" means SMPL, "customers" means the businesses that subscribe to SMPL, and "you" means anyone whose information we handle.

2. Two kinds of information

Information about our customers and website visitors, which we control: for example the details you give when you book a demo, chat with Jackie on our website, or sign up.

Information our customers put into their CRM about their own customers (homeowners, jobs, photos, invoices). Our customers own and control that information. We store and process it only to provide the service to them, following their instructions.

3. What we collect

  • Contact and business details: name, business name, email, phone, address, the services you offer and your team size.
  • What you tell us about your business on our forms, in chats and on calls.
  • How you found us: ad and referral details (for example which ad you clicked).
  • Account information: logins, team members and their roles.
  • Usage information: pages visited, features used, device and browser details, and error logs that keep the service working.
  • Payment information is handled by our payment provider (Stripe). We do not store card numbers.

4. How we use it

  • To run, secure and support the service, and to set up each customer’s CRM.
  • To book and run demos, and to send the emails (and, if turned on, text messages) about them.
  • To send follow-up and product emails. You can unsubscribe from these at any time using the link in each email.
  • To prepare for demos, including looking up public information about a business (such as its website and public reviews).
  • To understand which marketing works, and to improve SMPL.
  • To meet legal, tax and accounting obligations.

We do not sell personal information.

5. AI features

Jackie and other AI features use a third-party AI provider (Anthropic) to generate replies. Conversations are sent to that provider to produce a response and are not used to train its models. AI replies can be wrong; customers are responsible for checking anything important before relying on it.

6. Who we share it with

We use trusted service providers to run SMPL, under agreements that require them to protect the information:

  • Hosting and databases (Vercel, Supabase)
  • Email and text message delivery (Resend, Twilio)
  • AI (Anthropic)
  • Payments (Stripe)
  • Calendar, maps and address tools our customers connect (Google, Mapbox)
  • Video calls for demos (Zoom)

Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We may also share information if the law requires it, or as part of a sale or merger of our business (with the same protections).

7. How long we keep it

We keep customer data for as long as the customer’s account is active. When a customer cancels, we give them an export of their data on request and delete it from the live service within 90 days, except where we must keep records by law. Backups are deleted on their normal schedule. Demo and prospect information is kept for up to 2 years after our last contact, unless you ask us to delete it sooner.

8. Security

Information is encrypted in transit and at rest, each customer’s data is kept separate from every other customer’s, staff sign in with two-step verification, and databases are backed up daily. No system is perfectly secure; if a breach affects your information we will tell you and the authorities as the law requires.

9. Your choices and rights

You can ask to see, correct or delete the personal information we hold about you, or withdraw consent to marketing emails. If your information is in one of our customers’ CRMs, please contact that business; we will help them respond. To make a request, use our contact page.
